JaneApp will collect information needed to create or manage your client profile (such as your name, contact info, and appointment details). Any intake forms or consent forms you complete for counselling are also handled through JaneApp.

  • Data Handling: JaneApp securely stores personal information and health records on our behalf. It is a widely used platform in Canada for health services and complies with healthcare privacy regulations (JaneApp is PIPEDA-compliant and meets high privacy/security standards​). This means your counselling notes and personal health information are encrypted and protected within JaneApp’s system.

  • Privacy & Access: Our counsellors and authorized administrative staff can access your data in JaneApp to provide services (e.g., view your contact info or session notes). JaneApp staff do not access your records except as needed for technical support with our clinic’s account. JaneApp has its own Privacy Policy and security measures; we encourage you to review JaneApp’s privacy notice for details on their data practices. However, rest assured that any information you enter in JaneApp is used strictly for scheduling and delivering counselling services, and we treat it with the same confidentiality as information collected directly on our site.

  • Payments: If you provide payment information (e.g., credit card) for session fees, that information is processed through JaneApp’s secure payment processor. We do not store your payment card details on our own systems. Payment processing may involve third-party payment gateways which have their own stringent security standards.

2. Google Tag Manager (Website Tag Management)

4. Meta Pixel (Facebook/Instagram Analytics)

All team members are bound by strict confidentiality agreements and professional ethical standards (especially as Registered Clinical Counsellors) to protect your privacy. For instance, a counsellor may consult with another Nimble team member for scheduling or backup coverage, in which case they might share your name or scheduling needs, but never beyond what is necessary and always with discretion.

  • Legal Requirements: We may disclose personal information if required to do so by law or in response to a valid legal request. This includes complying with court orders, subpoenas, or other legal processes. If a law or regulation compels us to share data (for example, for a government audit or investigation), we will only provide the minimum necessary information and will, when permitted, inform you of such disclosures.

We store these records in JaneApp. As regulated health service providers, we are generally required by law and professional guidelines to retain counselling records for a minimum period (often several years after the last client contact – for example, 7 years is a common requirement in British Columbia for adult records). We adhere to these legal retention requirements to ensure continuity of care and for liability reasons. After the required retention period, we will securely dispose of or delete records that are no longer needed.

  • Newsletter Data: If you’ve signed up for our newsletter, we retain your email on our mailing list until you unsubscribe or until we discontinue the newsletter service. If you unsubscribe, we may keep a record of your request to ensure we don’t accidentally email you again (this is common practice to maintain a “do not contact” list).

  • Analytics Data: Data collected via cookies and third-party analytics (Clarity, Pixel) is generally stored in those third-party systems. For example, Microsoft Clarity retains analytics data for a certain period (e.g., Clarity retains data for up to 13 months by default).
